Terms & Conditions – Solstice At Wasing 2026

Definitions

You”, “your” or “yourself” means the person who made the ticket booking & who is bound by these terms & conditions.

We”, “us” or “our” means Wasing Outdoor Events Ltd (Company number 13692241) at The Estate Office, Wasing Estate, Aldermaston, RG7 4NB.

Venue” means The Woodland at Wasing Estate, the Sacred Glade, the catering spaces, vehicle parking areas, campsite, Bullmoors field, Lower Park, Middle Lake (including wild swim lake & sauna), the hilltop Sunrise Ceremony space and all entrance & exit ways.

Event” means the Solstice At Wasing 2026 event which takes place at the Venue described above.

Booking” or “Bookings” means the booking of tickets to Solstice At Wasing 2026 which has been confirmed by Us with a booking confirmation number.

“Ticket” or “Tickets” mean a printed or electronic ticket issued by Us to You from Our ticketing platform.

Force Majeure Event” means an event beyond Our reasonable control including, but not limited to, serious damage to the Venue, strikes, lock-outs or other industrial disputes (whether involving the workforce of the party or any other party), failure or interruption of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, security alert, sickness, pandemic, compliance with any law or governmental order, rule, regulation or direction, accident, breakdown of plant or machinery, fire, flood, storm or other serious adverse weather condition, theft, burglary or malicious acts of third parties.

Terms & Conditions

1.       A binding contract between You and Us comes into existence when the final page of Our ticketing website provides you with a Booking confirmation number.

Everyone attending requires a Ticket, even those ticket types which are free of charge. Prices are inclusive of any applicable taxes. All Bookings are subject to a booking fee which will be applied at the time of purchase in addition to the ticket price. We reserve the right to run price promotions and special offers. Should the Ticket price(s) change after you have purchased your Ticket(s), we are under no obligation to refund your Booking, partially or in full. Once payment has been taken, the price of Your Booking will not change. We reserve the right to add or remove ticket types without notice. This includes, but is not limited to, introducing ticket types for a limited time period and/or with limited availability.

3.    Additional costs Vehicle passes are not included within the ticket price. Should you require a Vehicle Pass, please purchase a “Vehicle Parking Pass (Car/Motorbike) which allows access for 1 car to the main campsite car park. Should you require a Vehicle Pass for a Live-In vehicle, please purchase a “Live-In Vehicle Pass” which allows access for 1 campervan to the campsite. Refreshments are also not included in the Ticket price and will be charged at the time of purchase. Amex payments are not accepted. Sauna sessions are not included within the ticket price and additional tickets must be purchased in order to participate in these optional activities. Tipi tents and yurts are not included within the ticket price and must be booked separately. Tipi tent and yurt bookings do not include Solstice tickets.

4. Booking policy All Tickets are subject to availability. Tickets can be purchased online only at https://wasing.co.uk Tickets cannot be purchased at the gate. Please check your Tickets thoroughly before payment as mistakes cannot be rectified. We take no responsibility for any lost or stolen tickets. Tickets are for personal use only and must not be resold, transferred or exchanged. Please be aware of potential ticket touts. We do not allow Our Tickets to be resold or transferred so please do not purchase tickets from anywhere other than Wasing’s ticketing website. Tickets must not be distributed for commercial purposes such as corporate events, competitions or Marketing promotions, unless approved by Us in writing in advance. Ticket purchasers must be aged 18 or over and by placing an order with Us, You are confirming that You are aged 18 or over. Tickets are for the Solstice At Wasing Event only and do not allow access to any other area of Wasing Estate or any other event taking place anywhere at Wasing Estate.

5.  Admission policy The post code for the Event location is RG7 4LY. We operate a strict “no ticket, no entry” policy. Please ensure You bring either Your email Booking confirmation or printed Tickets to the Event, in order for Your Ticket to be checked or entry will not be allowed. There are no printing facilities at the Event. The Venue is in a rural location and mobile network provision can vary so please ensure You download Your Tickets before arriving or print them off. We reserve the right to require proof of age for any individual within Your party and this must be shown upon request. All under 18s must be accompanied by a Ticket-holding adult aged 18 or over and must be supervised at all times. You must comply with instructions by Event staff at all times and follow any health & safety instructions at the Venue. Please check Our social media channels before travelling.  

The Event is subject to a strict timetable and You must aim to arrive at the Event within the timeframes communicated in the Arrival Information email(s) sent to You before the Event. We cannot take responsibility for early or late arrivals. Reasonable attempts will be made to accommodate Your party if You arrive outside of the allocated timeframes detailed within Your Booking confirmation or pre-Event arrival information email. However, this is at the sole discretion of Event staff and We reserve the right to refuse entry. Should this occur, no refunds or compensation will be offered. All visitors must vacate the Venue by 6pm on 21st June 2026. Re-entry to the Event is not permitted.

We reserve the right to refuse entry to You or anyone in Your party if We feel You are compromising the safety of Yourself or others around You. We also reserve the right to refuse entry to You or anyone in Your party if We are concerned that You or a member of Your party may negatively affect the enjoyment of the Event by other   ticketholders and guests, or if you are not treating Our staff, volunteers and contractors with dignity and respect. For the same reasons, We also reserve the right to request that, after admission, You and all members of Your party leave the Venue with immediate effect. Reasons for refusal of entry or a request to leave the Venue include, but are not limited to, foul language, intoxication (alcohol or drugs), unlawful activity, sexual harassment, verbal or physical aggression, ridicule, humiliation, harassment, bullying, intimidation, threatening behaviour and any behaviour that is deemed by Us to be inappropriate, to cause offense or to not be in-keeping with the nature of the Event. We have a zero tolerance policy on all aforementioned actions and behaviours towards Our staff, volunteers, contractors, ticketholders and guests, and anyone behaving in this manner will be refused entry or asked to leave immediately. Should this occur, no refund or compensation will be offered or provided under any circumstance.

6. Changes by you Your Booking is non-amendable, non-transferable and non-refundable. Should you be unable to use the Ticket(s) you have booked without making an amendment, this constitutes a cancellation and the “Cancellation by You” policy will apply. Tickets cannot be removed from Your Booking or cancelled under any circumstance and in this scenario the “Cancellation by You” policy will apply. You cannot transfer Tickets into another name or other name(s).

7. Cancellation by You No refunds or any other compensation will be issued for cancellations by You.

8. Changes & Cancellations by Us From time to time, it may be necessary for Us to change or cancel confirmed bookings and We reserve the right to do so. Should a change or cancellation be required, We will endeavour to tell You as soon as possible. If there is reasonable time, You will have the option to accept the amendment for example to change Your Ticket(s) to a different time or date subject to availability. If not, We will issue a full refund within 10 working days after the date You were due to attend the Event. Refunds will only be issued to the account details used for the original purchase. Additional compensation above and beyond a full refund of Your monies paid will not be offered. We accept no responsibility for any resulting costs You may incur including travel, accommodation or any other related goods or services.

9.   Covid-19 The Event will operate in accordance with UK Government guidelines. Should You or any of Your party be unable to attend the Event due to contracting Covid-19, the “Cancellation by You” policy will apply.

10.   Limitation of liability and Force Majeure Event

10.1. This clause 7 sets out Our entire financial liability to You and the members of Your party for whom You have made Your Booking, in respect of:

10.1.1. any breach of contract or negligent performance by Us of the Booking and/or payment process;

10.1.2. any breach of contract or negligent performance by Us (or our employees or contractors) connected with Your Booking;

and 10.1.3. any representations, statements or negligent or harmful acts or omissions arising under or in connection with these Terms and Conditions.

10.2. Nothing in these terms limits or excludes Our liability:

10.2.1. for death or personal injury resulting from Our negligence;

or 10.2.2. arising as a result of fraud or fraudulent misrepresentation.

10.3. Subject to clause 9.2, We will not be liable for the death of or injury to any person attending the Venue for Your Booking or for any losses, claims, demands, actions, proceedings, damages, costs or expenses or other liability incurred by You in the exercise of the rights granted by these Terms and Conditions.

10.4. Subject to clauses 9.2 and 9.3, where We have been negligent and/or breached a contractual obligation to You, We will be liable for any loss or damage You suffer as a result, as long as the loss or damage is foreseeable. Loss or damage is foreseeable if it is an obvious consequence of Our negligence or breach of contract, or would have been considered by You and Us to be a likely consequence of it at the time We entered into these Terms and Conditions.

10.5. Subject to clauses 9.2, 9.3 and 9.4, Our total liability in contract, tort (including negligence), breach of statutory duty, misrepresentation restitution or which otherwise arises in any way in connection with Your Booking shall be limited to the ticket fee paid.

10.6. Force Majeure Event:

10.6.1. We will not be liable to You as a result of any delay or failure to perform Our obligations under these Terms and Conditions as a result of a Force Majeure Event.

10.6.2. We shall notify You as soon as is reasonably practical where We know or suspect that We will be unable to host Your Booking on the Date due to a Force Majeure Event, and We will offer You an alternative date for the Booking to be moved to (subject to availability). The selected new date shall be confirmed by the parties in writing, and Your Booking shall be deemed varied to reflect this new date accordingly. No refunds shall be given to You if You fail to agree to an alternative date.

11.   Artists A final schedule of music artists, workshop facilitators and guest speakers will be announced prior to the Event via www.wasing.co.uk/solstice  From time to time, it may be necessary to change the line-up due to unforeseen circumstances. Should this occur, a replacement music artist, workshop facilitator or guest speaker will be announced and no refunds or any other compensation will be offered for any cancelled performances, unless the entire Event is cancelled, in which case our “Changes & Cancellations by Us” policy will apply.

12.   Animals No pets or any animals are allowed to attend the Event, with the exception of guide, hearing or registered assistance dogs. If You are bringing an assistance dog, You need to register your dog’s attendance by emailing events@wasing.co.uk at least 10 working days in advance of the Event. You will be required to show proof of registration with an approved organisation at this time and at any time whilst at the Venue. Registered assistance dogs must be supervised and kept on a lead at all times.  Anyone leaving animals unsupervised in vehicles at the Venue will be reported to the relevant authorities.

13.   Venue This is an outdoor event which takes place in woodland areas. Vehicle parking is also in a field. Whilst pathways will be well maintained, You and Your party may encounter areas with naturally occurring hazards such as mud and uneven surfaces. Care should be taken when walking through the woodland area and throughout the Venue. Please ensure appropriate footwear and clothing is worn. The venue is private property and access to any other area of the Wasing Estate is forbidden. From time to time, it may be necessary for Us to move the location of the Event to an alternative venue within Wasing Estate. Should this occur, no refunds or any other compensation will be issued.

14. Paying In Instalments You can pay for tickets in instalments by heading to the ticketing page, selecting the tickets you wish to purchase and upon checkout, select the Klarna payment method. From here you can set up a payment plan via Klarna. Klarna’s Pay in 3 / Pay in 30 days are unregulated credit agreements. Borrowing more than you can afford or paying late may negatively impact your financial status and ability to obtain credit. 18+, UK residents only. Subject to status. Ts&Cs and late fees apply.

15.   Vehicle Parking Vehicle parking is in a grass field and a valid parking ticket must be purchased. Vehicle Parking passes for cars & motorbikes are £10 per vehicle and Live-In Vehicle passes for campervans are £35. Please follow signage & parking instructions from Event staff. Vehicles are parked at the owner’s risk. We take no responsibility for any damage or loss to vehicles parked at the Venue, nor for any contents left in the vehicle. Campervans are permitted to the campsite. Large caravans, large motor homes, lorries and other similar or large vehicles are not permitted. Please ensure you purchase the correct vehicle parking pass for your vehicle. The different types are not interchangeable and failure to purchase the correct Vehicle Pass will mean having to purchase the correct one in addition, without refund of the original, in order to gain access to the correct vehicle parking area for Your Ticket. Vehicle parking passes cannot be purchased at the gate and must be booked in advance via https://wasing.co.uk

16.   Accessibility We aim to be as inclusive and accessible as possible, and to provide the best experience for all of our customers. If you have accessibility needs, we recommend reading our Accessibility Guide at Accessibility Guide for Solstice At Wasing  before purchasing tickets. If you would like to attend the Event after reading the Accessibility Guide, you should purchase General Admission tickets via https://wasing.co.uk  & complete an Accessible form which will allow us to help you as best we can during your visit. We offer a limited number of Carer Tickets. Should you require a Carer ticket to be added to your Booking in order for You to attend the Event, please view the instructions in the Accessibility Guide on how to apply. You will be required to send proof of eligibility documentation to events@wasing.co.uk A list of approved documentation can be found in the Accessibility Guide. Upon receipt of the appropriate documentation, we will add 1 free Carer ticket to Your Booking. Carer tickets are subject to availability & issued at Our discretion. 

17.   Health considerations If You have any diseases, injuries, medical conditions (including but not limited to pacemakers, tinnitus, sound or light sensitive conditions or epilepsy), illnesses or are taking any prescription drugs which may in any way affect Your attendance to the Event, please consult with your Doctor before attending. You attend the Event at your own risk. We do not offer any medical whatsoever.

18.   Pushchairs Pushchairs and prams are permitted. However there are inclines and uneven surfaces the Venue. There is no paving. Please exercise caution throughout the Venue. Wheelbarrows, carts & other large trailers for transporting children are not permitted into the Venue.

19.   Children & Babies We advise that the event may not be suitable for young children, especially those under 2 years of age. All children attending require a ticket and to be accompanied by an adult. A maximum of 1 adult to 4 children is permitted. Buggies and necessary care bags will be permitted, but please be advised that additional security checks may take place. The Venue is a rural location and therefore we do not provide highchairs, baby changing facilities or facilities for heating bottles or any other food or drinks. We recommend that children wear ear defenders. As this is an evening and overnight event, it is the responsibility of parents and/or guardians to decide whether this Event is appropriate for their child/children. We accept no responsibility nor offer any advice on this.

20.   Weather The Event will remain open in reasonably wet and windy weather conditions so long as safety is not compromised. Should You wish not to attend due to weather conditions on the day, the “Cancellation by You” policy will apply. Our staff will continuously monitor the weather conditions and assess any potential risks to health & safety. Should we deem the weather a significant risk, the Venue will close and the “Amendments & Cancellations by Us” policy will apply. Please check Our social media channels before travelling. Should extreme, serious and adverse weather conditions occur such as storms & flooding, Our Force Majeure policy will apply.

21.   Umbrellas Umbrellas are not permitted at the Venue. As we cannot always rely on the Great British weather, please ensure your attire is suitable for rain or shine.

22.   Seats/Chairs Seats and chairs of any kind are not permitted at the Venue. This includes seat sticks and inflatable seats. You are permitted to bring a blanket to sit on, although you may be asked to pack this up when the show starts.

23.   Camping Camping is available to all Solstice ticketholders on a bring your own tent or campervan basis. If you are bringing a vehicle, you must purchase a campsite vehicle pass. Campers camp at their own risk. BBQs, bonfires & naked flames are strictly prohibited. All campers must leave the Venue by 6pm on 21st June 2026. All campers must be respectful to other campers. Strictly no loud music must be played in the campsite at any time. Drinking water facilities will be provided. The campsite is family friendly. Anyone behaving in a manner that is not deemed family friendly, as defined by Event staff, will be required to leave without refund or compensation.

25. Optional Extras You can book extra activities such as a sauna session at additional cost. These optional activities are subject to availability and tickets are issued on a first come, first served basis. Each activity is subject to additional Terms & Conditions which can be requested by emailing events@wasing.co.uk

26.   Travel Please check Your route prior to travelling to ensure that You arrive on time. We are not responsible for any delays or problems caused by travel disruptions of any nature. If you are being dropped off or picked up by friends, family or a taxi please follow the signage to the dedicated pick up and drop off point. Please do not get dropped off in other locations as the route may be unlit and uneven ground and a risk of conflict with vehicles. You may also miss last entry. We wish to ensure our audience have a safe journey to and from the concert. It is Your responsibility to ensure You have made appropriate travel arrangements to and from the Venue.

27.   Attire You and Your party must wear family friendly attire. Nudity is prohibited. If staff feel that You or any of Your party are dressed inappropriately, We reserve the right to refuse entry to You and all of Your party or to request that You and all of Your party leave after admission. Should this happen, no refunds or compensation will be issued. Please also bear in mind that the Event takes place in woodland and fields, therefore appropriate footwear is recommended. Stilettos are not permitted.

28.   Personal Property We accept no responsibility for any loss or damage to any personal property brought to the Event. 

29.   Food & Drink Food and drink will be available from vendors inside the Venue. Vegan and vegetarian options will be available. Free drinking water is available so please do bring an empty reusable bottle or 1x sealed 500ml plastic water bottle. Should You have a query regarding ingredients, please speak to the catering staff. Please note we will not be serving alcohol from the bars at Solstice festival. Glass is not permitted in the Venue. You are permitted to bring food & drink into the campsite, but please note that this cannot be taken into The Woodland where the Event takes place.

30.   Safety & Security It is strictly prohibited to bring into the Venue any weapons, knives, guns, sharp objects, alcohol, illegal substances, legal highs, fireworks, pyrotechnics, sparklers, smoke bombs, confetti canons, air horns, lasers, flares or any other articles which may in any way damage the Venue and/or cause injury to You, other visitors or staff. Anyone in possession of any of these articles will be asked to leave immediately without refund or any compensation and We reserve the right to report You to any relevant authorities. Fires, naked flames and BBQs are strictly forbidden. Bags larger than A3 will not be permitted. All bags will be searched at dedicated security points. Personal searches may also be conducted at this point.

31.   Photography & Videography Personal photography and videography is permitted during the Event. We cannot control, and therefore take no responsibility, if You or any member of Your party appear in another visitor’s photos or videos which are published on social media or elsewhere. Photography is not permitted by a professional or commercial photographer even if they have purchased a ticket. Videography or dronography is not permitted by a professional or commercial videographer or dronographer even if they have purchased a ticket.  Professional or commercial photography, videography and dronography which is solicited by a visitor is also not permitted i.e. visitors are not permitted to hire a professional photographer or videographer to photograph or video them during the Event even if all parties have purchased tickets. Personal, professional or commercial drones are not permitted, unless solicited by Us. The Venue is in restricted air space and permission to fly a drone must be authorised by the Civil Aviation Authority. If you Fly a drone without permission from both Wasing Estate and the Civil Aviation Authority, you are at risk of being fined. We take no responsibility for the payment of any fines, or for any other consequences of you flying the drone including but not limited to injury, death or damage to the Venue or any other property. From time to time, We, or an approved supplier, may wish to take photos, videos or drone footage at the event for Marketing purposes. If You do not wish to appear in this, please advise Us by emailing events@wasing.co.uk before Your visit and make staff aware on the day. From time to time, We may use stock photography and videography for advertising purposes.

32.   Social Media Competitions Any competitions promoted via Our social media channels are subject to separate Terms & Conditions. These, or where to find these, will be displayed on competition related posts. They can also be obtained by emailing events@wasing.co.uk

33.   Copyright & Intellectual Property Unless credited otherwise, the text & images contained in the www.wasing.co.uk website and on any Wasing social media page are Our property and are protected by copyright & other intellectual property rights. No part of any of these sites can be reproduced by any process without written permission from Us.

34.   Personal Data Your personal data will be managed responsibly and in accordance with Our Privacy Policy.

35.   Complaints We will make every effort to ensure the Event is an enjoyable experience. If however You encounter any problems, please inform a member of staff during the Event who will make reasonable efforts to resolve the issue. If a suitable solution is not found and You wish to take make a complaint, please email events@wasing.co.uk within 5 calendar days of Your visit. Please include Your Booking reference number, date & time visited, the nature of the complaint and any relevant photos.

36.   Amendments to Terms & Conditions We reserve the right to make amendments to Our Terms & Conditions for this Event at any time and without notice. Any changes to these Terms & Conditions apply to Your ticket purchase with immediate effect from the date of publication on Our website.

37.   Severability If it is found by a Court that any of these Terms & Conditions for any reason cannot be enforced, this shall not prevent the other provisions from continuing to apply.

39.   Governing jurisdiction These terms and conditions shall be governed by and construed in accordance with the law of England and Wales, the courts of which shall be courts of competent jurisdiction.
